Member records end to end β€” adding and finding members, profiles, contacts, benefits, transportation, photos, and files.

Finding a MemberThe Members page lists everyone enrolled at your center. You can search by name, filter by status or group, sort the list, and open any member's profile. This article shows you how to find a member quickly.Understanding the Member ProfileThe member profile is your central hub for viewing and managing everything about an individual enrolled at your center.Adding a New MemberAdding a member creates their core record so you can then fill in their profile. The Add Member form captures identity basics β€” name, ID, photo, status, and enrollment.Editing Member InformationThere are two places to update a member's information. The Edit Member action on the member card updates the member's core record β€” name, ID, photo, status, enrollment, and groups.Managing Member DemographicsThe Demographics tab records a member's personal details: birthdate, gender, gender identity, pronouns, race, ethnicity, languages, marital status, and physical descriptors.Adding and Managing ContactsThe Contacts tab stores the people connected to a member β€” emergency contacts, family, physicians, hospitals, and payors.Setting Up Member BenefitsThe Benefits tab records each member's funding sources and the details needed to bill for them. A benefit ties the member to a benefit type (configured for your center), a schedule, usage limits, and β€” when…Managing Health InsuranceThe Health Insurance tab records a member's insurance carriers and policy details. This is separate from the Benefits tab, which handles funding sources, authorizations, and claim codes.Configuring Transportation SchedulesThe Transportation tab records a member's transportation arrangements. Each record covers one direction β€” Arrival or Departure β€” for a chosen transportation type, on selected days, over a date range.Uploading and Managing FilesThe Files tab stores documents attached to a member β€” medical records, identification, consent forms, and other attachments. Files are listed by upload date, newest first.Adding Member NotesThe Notes tab lets you record observations and important information about a member. Each note is timestamped and attributed to the staff member who wrote it, creating a running history the whole team can rely…Archiving or Deleting a MemberWhen a member is discharged or no longer attending, you usually archive them by setting their status to Inactive, which keeps the full record for reporting and compliance.Enrolling Members for Facial RecognitionFacial recognition lets members check in and out at the reception kiosk by having their photo taken instead of being looked up manually.Taking and Managing PhotosSeniorverse uses member photos in a few different places:
