Billing
Invoices, payments, claims, and credits, plus billing setup like payors, plans, and charge codes.
Setup
Configure the billing module — payors, billing plans, benefit types, charge codes, and service providers.
Understanding the Billing ModuleThe Billing module is where you set up who pays, define what gets billed and at what rate, then turn attendance into invoices, payments, credits, and claims.Setting Up PayorsA payor is whoever pays an invoice — a member, a contact, or an external system. Setting up payors correctly controls how invoices are grouped and how incoming electronic remittances (ERAs) are matched back to…Managing Charge CodesA charge code is a reusable price item — how a unit of attendance, transportation, or a service is measured and priced.Configuring Benefit TypesA benefit type is a funding program you bill against — for example a Medicaid or private-pay program. It holds the program's status, its claim settings, and (through effective-dated charge-code links) its…Creating Billing PlansA billing plan is a recurring schedule that ties one benefit type to a payor and proposes invoices on a weekly or monthly cadence.Setting Up Service ProvidersA service provider is the billing entity behind your invoices and claims — usually your center or organization. Its name, contact details, and logo appear on invoices, while its NPI, EIN, and taxonomy code…
Invoices
Create, edit, finalize, print, and void invoices, and generate them from billing plans.
The Invoice LifecycleEvery Seniorverse invoice moves through the same pipeline: it starts as a Draft, is Prepared, then Finalized, and finally Sent.Creating an InvoiceAn invoice bills a Payor for one or more members over an Invoice Period. You can create an invoice two ways:Generating Invoices from Billing PlansAn active Billing Plan produces invoice previews — proposed invoices for the plan's next billing period. A preview is not yet a real invoice; it's a suggestion the system builds from the plan's schedule,…Adding & Editing Invoice Line ItemsInvoice line items are the individual charges on an invoice. Most lines are generated for you: on a Draft invoice, Seniorverse builds preview lines from the attendance and transportation records in the invoice…Viewing & Editing InvoicesThe Invoices tab in the Billing module lists every invoice and billing-plan preview for the selected date range.Finalizing & Sending an InvoiceFinalizing and sending are the last two steps of the invoice lifecycle. Finalize validates the invoice, generates its PDF, and locks it.Voiding an InvoiceVoiding cancels a finalized invoice. Because a finalized invoice is locked, voiding is how you retire one that was sent in error or is no longer valid.Printing & Downloading InvoicesYou can download an invoice as a PDF, download a receipt once it's paid, or export the invoice details as a CSV.Billing TransportationSeniorverse can bill transportation separately from attendance. When a member's attendance records an arrival and/or departure transport method, the system generates transportation charges on the invoice,…
Payments
Record payments, allocate them to invoices, and manage unallocated payments.
Recording a PaymentRecording a payment captures money received from a payor and ties it to one or more finalized invoices so you can later allocate it against specific invoice lines. Every payment starts as a Draft.Allocating Payments to InvoicesAllocating a payment applies its funds to specific invoice lines, reducing the outstanding balance on each one. A payment must be posted before you can allocate it.Managing Unallocated PaymentsAn Unallocated payment is posted money that has not been applied to any invoice line. A Partial payment has some, but not all, of its amount applied. Both represent funds that still need attention.
Credits
Create credit memos and apply credits to invoices.
Creating Credit MemosA credit memo reduces what a payor owes across one or more invoices — for adjustments, write-offs, goodwill gestures, or other corrections.Applying Credits to InvoicesApplying a credit memo distributes its amount across specific invoice lines, reducing each line's outstanding balance. You do this on the memo's Lines tab, either line by line or with Auto Apply.
Claims
Enable claims, run eligibility checks, submit and track claims, and handle remittance.
Enabling and Understanding ClaimsSeniorverse can turn a finalized invoice into one or more electronic insurance claims and submit them to payers on your behalf.Submitting and Tracking ClaimsOnce a claims-enabled invoice has generated its claims, you submit them electronically to payers and track their progress.Running Eligibility ChecksBefore you bill an insurer, you want to confirm the member is actually covered. Seniorverse runs real-time eligibility checks against the payer using EDI: a 270 request asks "is this member eligible?" and the…Receiving Remittance and the Files TabAfter a payer processes your claims, it sends back an electronic remittance. The 835 transaction — commonly called an ERA (Electronic Remittance Advice) — is the payer's statement of what it paid, adjusted, or…
